Purpose of the job


Sitting at the centre of the HR team, this role keeps the small but very busy HR team running like clockwork. By providing an efficient and pro-active administration service for all HR related tasks, the HR Assistant underpins the team's activities by supporting all HR initiatives and projects and helping the team and the business achieve their overall objectives across all our locations.


Main responsibilities
  • Providing a full range of administration and support services to the HR team to include:
  • Answering the phones, taking messages and assisting wherever possible.
  • Maintaining a range of HR databases to ensure that all records are accurate and up to date (this includes managing absence on the HR system)
  • Ensuring all recruitment and on-boarding related paperwork and checks are completed efficiently.
  • Actively maintaining and updating HR checklists relating to new starters, leavers and changes to circumstances.
  • Collating and logging documents for the monthly payroll and performing basic calculations to record any changes.
  • Managing diaries and booking meetings to include arranging candidate interviews, learning and development sessions and new


Starter Inductions

  • Preparing induction programmes and packs for new members of staff and taking an active role in the integration of new staff.
  • Assisting with the administration and management of student placements (including bursary, general and legal work experience and Project Trident students).
  • Documenting and updating internal HR procedures to ensure they are kept up to date.
  • Providing administration support for all training and development initiatives.
  • Filing and other general office duties.
  • Sharing ideas and getting involved and engaged in all the team's activities and the wider firm.
  • Taking part in other HR/Business activities and projects as required.


Requirements


Qualifications

Good secondary education to A-Level or equivalent standard

Knowledge/skills/experience

  • Experience in an office environment in a professional services firm.
  • Experience of dealing with clients/customers.
  • Confident user of a range of IT systems to include Word/Excel/PowerPoint

We collect data from candidates in person, by telephone and electronically. It is used only for recruitment purposes. In order to assist you, we need your personal details including your full name, residential address, email address, telephone numbers, education and career history, and your residential status. 

With your consent, from time to time, we may seek information from third parties such as debt collection agencies, references from former employers, confirmation of your education and verification of your qualifications and professional memberships. 

The data collected on candidates is restricted to that necessary for recruitment purposes and to ensure compliance with the law.  We comply with the Data Protection (Jersey) Law 2018 (incorporating the General Data Protection Regulation (GDPR)). (Please see below our policy on cookies). 

3. Retention of data

If you register with GLS Recruitment, you may at any time tell us to remove some or all of the personal data held by us on you.
