Client Relationship Manager (Company Secretarial)

Purpose of the role:

You will be administering a varied portfolio of Fund structures in conjunction with the Senior Client Relationship Managers / Associate Director – Administration.

Key responsibilities:
  • Co-ordinate all company secretarial matters, including convening Board meetings, timely production of Board papers, attendance at and preparing minutes of Board meetings for a portfolio of regulated fund structures in accordance with expected service standards
  • Oversight of various investment matters such as corporate actions, dividend declarations, fund extensions, acquisitions and disposals and maintain and develop excellent working relationships with the duly appointed Investment Advisor and Investment Manager
  • Co-ordinate legal, tax and other professional advice as required and maintain frequent and professional contact with the Board of the Investment Manager
  • Develop and maintain Operations and Procedures Manual and maintain oversight of strict adherence to ISAE controls
  • Maintenance of up to date and accurate statutory records and registers for a variety of corporate entities
  • Work closely with the compliance function to ensure that the established compliance monitoring programme is adhered to
  • Act as first authority for the timely production and review of investor correspondence such as Distribution notices, Capital Call notices and ad-hoc communications
  • Ensure the timely preparation, review, approval, distribution and filing of periodic financial statements in accordance with constitutional and regulatory requirements
  • Act as a higher authority on day-to-day queries and act as a ‘B’ level 4-eyes signatory, ensuring that well-established company policy and professional and regulatory guidelines are adhered to and that a professional and timely service is provided to clients and third parties
  • Act as a super user and validator for company systems (such as Board Intelligence, eFront and Blueprint) including new user set up and dealing with queries
  • Assist with billing information for the client including periodic analysis of fixed and time spent fees and analysis of the team utilisation targets
  • Provide assistance and support in respect of Group-wide projects and initiatives
  • Supervise and assist in the training and development of staff, including all aspects of performance management


Requirements

  • Ideally 6-8 years fund administration experience supported by a relevant professional qualification
  • Sound technical financial services knowledge
  • Computer literacy, word processing and spreadsheet skills are essential
  • Significant people management experience
  • Evidence of full responsibility for a client relationship or a significant part of a major client relationship
  • Excellent attention to detail

We collect data from candidates in person, by telephone and electronically. It is used only for recruitment purposes. With your consent, from time to time, we may seek information from third parties such as debt collection agencies, references from former employers, confirmation of your education and verification of your qualifications and professional memberships.
