Customer Services Officer

Purpose of the role:

To provide professional customer service and to accurately input orders and data into the customer management system, taking, recording and reconciling payments and responding to customer enquiries. You will engage with customers on the telephone, promoting products and recognising and implementing opportunities to ‘up-sell’ issues, ranges and special offers. Working as part of the team to process and prepare stock and to process, fulfil and despatch customer orders in an accurate and timely manner, accurately inputting data to the stock management system. Flexibility and attention to detail and quality control are key elements of the role.

Key Responsibilities:
  • To liaise directly with customers (both locally and internationally) in connection with all manner of customer enquiries and information (communications received by all channels – including telephone, letter, e-mail and fax) in a recognised professional customer services manner to satisfactorily conclude customers enquiries and communications.
  • To identify, whenever possible, opportunities for up-selling and selling stock, suggesting ideas to the Management Team for further development and implementation.
  • Attend exhibitions, unloading and displaying stock, selling direct to customers, receiving and reconciling payments and arranging the return of stock to Jersey.
  • To input and record customer data and contact details accurately and promptly (such as opening, amending and closing customer accounts and filing all paperwork), including adjusting account particulars on the computer when funds are placed incorrectly and/or rejected, plus closing accounts and preparing refund paperwork if appropriate on a daily basis to ensure the maintenance of up to date, accurate computerised account records.
  • To input and process accurately all customer order requirements, including replacements, returned items and spoilt stock received via a variety of sales channels.
  • To open mail, accurately record and process customers’ payments and advise the Manager of any discrepancies – this is to include the reconciliation of computer records of customers’ payments against actual funds held for audit purposes.
  • To advise the Manager of any discrepancies between inputs and of any computer system difficulties to ensure problems are quickly overcome and customer service maintained.
  • To complete Templates giving simple statistical information as/when required.
  • To complete relevant missing details on ‘template letters’ and despatch completed letters to customers when appropriate.
  • To open and check stock packages received from suppliers and store and arrange the stock in Stock Rooms.
  • To count and record stock accurately as/when required.
  • To provide accurate product component make-up, pick stock for preparation of batch orders as per summary instructions, ready for order fulfilment and despatch.
  • To accurately make up customers orders ready for despatch as per summary instructions.
  • To assist with the sorting, input and preparation of customer orders into ‘despatches’ for onward transmission.
  • To prepare mailshot material for despatch.
  • To assist with the preparation of stock marked for destruction.
  • To ensure the efficient operation of all office equipment used, notifying the Manager of any problems/faults.
  • To be an accountable, productive, positive, effective and supportive member of Bureau team in order to achieve business deadlines and financial targets.
  • To undertake all manner of general office duties and reasonable requests in line with the range and scope of the post as required by the Manager.
Knowledge, Skills and Expertise:
  • Minimum of 1 years' experience within a customer services role/basic administrative tasks.
  • Proven data input skills and computing skills
