Purpose of Job Role:

To be responsible for the day-to-day operation of the Internal Operations team and ensure all administration on behalf of clients, related transactions and duties of the team are undertaken to the highest standards. To provide assistance to the Managing Director or other Directors on specific projects



Key Responsibilities:


Operational Services 

  • Manage the internal operations team on a day-to-day basis, control the workload and review the output of the team
  • Responsible for the co-ordination of the Investment Performance (ENHANCE) review programme
  • Responsibility for maintaining banking and intermediary relationships
  • Manage the Company’s pooled accounts.
  • Provision of management information for Board and Group when required
  • Authorised “A” signatory for the Company’s in-house companies
  • Undertake any other ad hoc duties as requested by the Managing Director or Senior Manager

 Company Secretarial

Although mostly restricted to assisting with the Company’s in-house companies company secretarial matters, the department may be asked from time to time to assist with statutory assistance for Jersey companies which are administered in Jersey and also by other members of the Group

  • Company Secretarial support for the Company and their subsidiaries/affiliates
  • Company Secretarial support for EMAS, Crewing ICC and underlying cells (to include oversight of incorporation of new cells where required)
  • Management of the central Annual Return process for client administered entities (Jan/Feb each year) – ensuring the submission & payment of fee for the annual return
  • Assisting the managing director with all tax related returns, payments and queries for the Company and their subsidiaries/affiliates including but not limited to
  • ISE return
  • Global Tax Return
  • EUSD disclosure
  • Assisting the Company’s IOM Statutory Team with incorporations of Jersey companies as and when required (where Jersey provide registered office services)
  • Responsible for global changes to Directors  and Trustees of managed entities as appropriate
  • Management and distribution to relevant parties of the Company’s signatory list
  • Provide statutory packs to client services in relation to the Company and their subsidiaries/affiliates

 Periodic review programme

  • Management and maintenance of the Company’s Periodic Review Programme including all aspects of monitoring and provision of management information
  • Analysis of trends arising from reviews and recommendation for revisions to policy/procedures where required 
  • Provide guidance to relevant business areas on the clearance of action points arising from reviews, consulting with the compliance department as appropriate

 Exiting Clients

Provision of cover for the administrator that undertakes the closing of entities as and when required, consisting of:-

  • Closings - exits and transfers of client administered entities in Jersey, liaising with client services, clients and intermediaries as and when required
  • Reinstatements and re-domiciliation of client administered entities as and when required 
  • Addressing mail/queries received in relation to exited clients and ensuring they are dealt with appropriately

 Project work

  • To participate and where necessary, facilitate any identified projects relevant to the role including the provision of strategic guidance and research

Skills, Knowledge and Expertise:

  • Must have a minimum of 5 years’ experience in Fiduciary sector
  • Professional Qualifications – should hold a minimum of one of the following (or industry equivalent) – STEP Diploma; ICSA Diploma/Professional
  • A thorough knowledge of the Company and Trust concepts from incorporation/creation to dissolution/termination and a thorough understanding of Company and Trust law and the due diligence requirements in accordance with the JFSC and statutory requirements in the primary jurisdictions used by the company
  • The ability to manage a team
  • Excellent organisational skills
  • To be organised and possess a serious understanding of confidentiality and data protection
  • A basic understanding of tax planning structures to understand the rationale of a client’ business structure
  • A strong knowledge of banking practices
  • Strong working knowledge of NAV One
  • The role will require development to a good level of competence using Excel and data-handling
  • To have an understanding and display ours core values through day to day work and interaction with colleagues
  • Must have good interpersonal and communications skills, both verbally and in writing coupled with good organisation skills
  • Provide a professional attitude towards clients and staff to maintain and develop existing relationships
  • To have good time management skills
  • To have a professional appearance at all times
  • Must possess good analytical, organisation, communication & time management skills, ability to focus on key issues and the ability to lead a team
